Custom-built management systems for stock, purchase and sales, billing records, staff and reporting, replacing the spreadsheets, notebooks and chat threads that run most small businesses.

Business and operational systems

The problem we start from

Most growing businesses run on a patchwork: a stock sheet one person maintains, a billing tool that does not know about purchases, attendance in a register, and reports someone assembles by hand at month end. Each piece works until the person behind it is away.

Off-the-shelf software often asks you to change how you work to fit its screens. If your process has real quirks, such as job-work, weight differences, part payments or approvals, you end up with workarounds that live outside the software anyway.

A custom business system starts from your actual steps. We map how an order, a purchase or a stock movement really travels through the business, then build screens, rules and reports around that, so the record is created once, at the point of work.

Common things people ask us to solve

  • Workflow digitisation

Replace paper registers and chat-based approvals with a tracked, step-by-step process with clear owners.

  • Inventory and stock

Record stock in, out and in transit, track movements by location or batch, and see what is actually on hand.

  • Purchase and sales

Capture purchase entries, quotations, sales orders and dispatches in one connected record.

  • Billing and records

Generate invoices and keep customer and supplier ledgers tied to the transactions that created them.

  • Attendance and staff

Track attendance, shifts, leave and simple payroll inputs without re-typing from a register.

  • Dashboards and reporting

Daily and monthly views of sales, stock, pending payments and exceptions, drawn from live records.

What can be built

Built for your business rather than configured from a template. The first release is agreed in writing before work starts.

Custom build

  • Role-based web application with separate access for owners, managers and staff
  • Stock, purchase, sales and dispatch modules with movement history
  • Invoice and document generation with your own formats
  • Approval steps and audit trail of who changed what
  • Dashboards and exportable reports
  • Data import from your existing spreadsheets

How it works day to day

  1. We map your current process

We sit with the people who do the work and trace a record from first entry to final report.

  2. We agree a first release

A scoped set of modules that removes your biggest pain first, with later phases listed separately.

  3. You test on real workflows

Staff try the system with sample, then real, entries before it replaces the old way.

  4. We launch and support

Go-live with your data imported, training for the team and a defined support period.

Tools it can connect to

These are potential integration targets, not partnerships or certified connectors. Whether a connection is possible depends on the API or export each product offers, and on your plan with them.

  • Accounting software such as Tally or Zoho Books (potential integration target)
  • GST invoicing and e-way bill services via their official APIs, where you hold the account
  • Payment gateways for collecting dues online
  • WhatsApp Business API or email for reminders and document sharing
  • Barcode scanners and label printers

How a project is delivered

A realistic sequence. Timings are agreed after discovery, because they depend on scope and how quickly feedback arrives.

  1. Discovery and workflow mapping

Workshops and a written scope covering modules, roles, reports and what is out of scope.

  2. Prototype review

Clickable screens for the key flows so you can correct us before development.

  3. Build in short cycles

Working modules shared for feedback every couple of weeks rather than one big reveal.

  4. Data migration and testing

Import of existing records, a test pass with your team and a fix list.

  5. Launch, training and handover

Staff training, documentation and a support window for early issues.

What to know before you start

Costs, dependencies and limits belong on the page, not in the fine print.

Dependencies and third-party costs

  • Hosting and a domain are ongoing costs paid to the provider; we recommend and configure them
  • Third-party services you choose, such as payment gateways, SMS or WhatsApp messaging and accounting tools, charge their own fees
  • Your team needs to be available for workflow walkthroughs and testing; delays here move the timeline
  • Clean starting data speeds migration; messy spreadsheets take extra effort to tidy

Limitations

  • A system records and enforces your process; it cannot fix a process nobody agrees on, so some decisions stay with you
  • Staff still need to enter data at the point of work for reports to be accurate
  • This is not a statutory accounting package; it can connect to your accountant's tool but does not replace professional compliance advice
  • Ongoing maintenance, backups and enhancements are separate from the initial build
