The problem we start from

Leads arrive from the website, phone calls, WhatsApp, referrals and ads. Without one place for them, they sit in personal phones and half-finished sheets. Nobody can say how many enquiries came in this month, who is handling which, or why a deal went cold.

Follow-up is where most sales are lost, and it depends on memory. A salesperson on leave takes their pipeline with them. Managers learn about a lost deal only after it is lost.

A CRM built around your sales process gives every lead an owner, a stage and a next action. It does not close deals for you, but it makes it hard for an enquiry to be forgotten.

Common things people ask us to solve

  • Lead capture

Website forms, ad lead forms and manual entries all land in one inbox with source recorded.

  • Lead assignment

Rules allocate leads by area, product or round-robin so none wait unassigned.

  • Sales pipeline

Stages that mirror your process, with values, notes and reasons for lost deals.

  • Follow-up automation

Reminders and task lists generated when a lead goes quiet or a stage changes.

  • Customer records

A single history of conversations, quotes, documents and orders per customer.

  • Customer communication workflows

Template-based WhatsApp or email touchpoints triggered by stage, such as quote sent or visit scheduled.

What can be built

Built for your business rather than configured from a template. The first release is agreed in writing before work starts.

Custom build

  • Lead inbox with source tracking and duplicate detection
  • Configurable pipeline board and list views
  • Task and reminder engine with overdue alerts
  • Customer profile with activity timeline and attachments
  • Reports on conversion by source, stage ageing and owner workload
  • Role-based visibility for sales staff, managers and owners

How it works day to day

  1. Leads arrive in one place

Every channel feeds the same inbox with its source recorded.

  2. Someone owns each lead

Assignment rules or a manager allocate it and set the next action.

  3. The pipeline moves

Staff update stages; reminders prompt follow-ups; templates speed up messages.

  4. Managers see the picture

Dashboards show pipeline, ageing leads and conversion by source.

Tools it can connect to

These are potential integration targets, not partnerships or certified connectors. Whether a connection is possible depends on the API or export each product offers, and on your plan with them.

  • Website forms and landing pages
  • Meta and Google lead forms (potential integration target via their APIs)
  • WhatsApp Business API and email for communication
  • Telephony or click-to-call providers
  • Accounting or business system for won deals
  • Existing CRMs such as Zoho or HubSpot, if you prefer to keep one and extend it

How a project is delivered

A realistic sequence. Timings are agreed after discovery, because they depend on scope and how quickly feedback arrives.

  1. Sales process mapping

Stages, handoffs, lead sources and what a good follow-up looks like for your business.

  2. CRM configuration or build

Either a tailored custom CRM or configuration of an existing tool, whichever fits better.

  3. Data import and channel connections

Existing leads and contacts imported; forms and ad sources connected.

  4. Team training

Short sessions for sales staff and managers on daily use.

  5. Review after a month

We check what the data shows and adjust stages, rules and reports.

What to know before you start

Costs, dependencies and limits belong on the page, not in the fine print.

Dependencies and third-party costs

  • WhatsApp, SMS and call services are charged by their providers; WhatsApp also needs business verification and template approval
  • If you choose an existing CRM, its subscription is separate from our setup fee
  • Ad platform lead form integration needs access to your ad accounts
  • The CRM only works if the team records activity in it; adoption needs management support

Limitations

  • A CRM organises and reminds; it does not generate demand or guarantee conversions
  • Reports are only as good as the data entered; incomplete updates produce misleading numbers
  • Automated messages should respect consent and platform rules; we configure these but the compliance responsibility stays with you
  • Heavy sales-forecasting or AI lead scoring is not part of a standard build
