Real estate lead desk
A hypothetical independent real estate agency whose enquiries arrive from listing portals, a website form, phone calls and referrals, handled by a handful of agents.
This is a hypothetical business and a proposed system. It is not a client project and no results are claimed.
The problem
Leads sit in different inboxes and phones. Two agents sometimes call the same person, and others are not called back for days.
There is no clear view of which stage a buyer is in, so the owner cannot tell where follow-up is slipping.
The proposed solution
One lead desk where every enquiry is captured with its source, assigned to an agent and moved through stages such as new, contacted, site visit and negotiation. Follow-up tasks are created with due dates.
Properties are matched against buyer requirements as a suggestion list that an agent reviews. Reminders surface overdue follow-ups for the owner.
The workflow, before and after
How it works today (hypothetical)
- Step 1: Enquiry arrives in email, portal or phone
- Step 2: Someone copies it into a spreadsheet, sometimes
- Step 3: Agent is chosen informally
- Step 4: Follow-up depends on personal memory
- Step 5: Owner asks each agent for an update
How the concept would work
- Step 1: Enquiry captured with its source
- Step 2: Lead assigned to one agent
- Step 3: Stage and next task recorded
- Step 4: Overdue follow-ups flagged
- Step 5: Owner views the pipeline by stage and agent
Features we would propose
- Lead capture from website forms with source tagging
- Assignment, stages and follow-up tasks
- Buyer requirement notes and property match suggestions
- Site visit scheduling
- Pipeline view by agent and stage
- Duplicate lead warning by phone number
Technology
- Next.js and TypeScript
- PostgreSQL (for example via Supabase)
- Listing portal import as a potential integration, depending on what each portal permits
- WhatsApp Business API as a potential integration, subject to approval and per-message fees
Results
No results are claimed for this project. It is a concept, so there are no measured outcomes to report.
